Preparation for a Racking Inspection


Preparing properly for a racking inspection not only ensures safety and compliance but also helps reduce the risk of costly downtime and repairs. Here's a clear, practical guide to help you prepare for a racking inspection by CSS Storage Solutions or any SEMA-approved inspector.

1. Appoint a PRRS (Person Responsible for Racking Safety)

  • Every warehouse should have a designated PRRS who:

    • Oversees racking safety

    • Is available to walk the site with the inspector

    • Can provide access to relevant documentation

    • Has authority to make decisions about racking safety

    • Completes a weekly visual inspection of the racking

2. Clean and Clear the Inspection Area

  • Remove obstructions (pallets, boxes, vehicles) from around the racking

  • Ensure aisles are accessible

  • Clear access to damaged areas or hard-to-reach sections

Tip: This helps the inspector perform a thorough, uninterrupted check.



3. Provide Access to Documentation

Have these documents ready:

  • Previous inspection reports

  • Risk assessments and maintenance records

  • Racking layout plans or CAD drawings (if available)

  • Details of any racking repairs or modifications



4. Visually Check for Obvious Damage Beforehand

While the inspection will be thorough, it’s helpful to do a basic check in advance:

  • Look for bent beams or uprights

  • Check for missing or damaged safety pins, beam locks, or fixings

  • Identify any overloaded or poorly stacked areas

  • Report or isolate serious damage (SEMA recommends doing this immediately)



5. Identify Changes in Usage or Layout

Let the inspector know if:

  • The layout has been changed recently

  • You’ve changed the type of pallets, loads, or handling equipment

  • You’ve installed mezzanines or extended racking bays

6. Inform Staff and Minimise Disruption

  • Notify warehouse staff in advance

  • Minimise activity in the area being inspected

  • Ensure forklift drivers or operatives are aware of the inspection to avoid delays or accidents

Encourage the PRRS or warehouse manager to prepare:

  • Any known safety concerns

  • Questions about best practices or layout optimisation

  • Plans for future expansion (so recommendations can be forward-looking)

Before the formal inspection, the PRRS should:

  • Carry out weekly visual inspections

  • Record and report damage

  • Ensure repairs are logged and signed off
